Terms of service

Effective Date: September 1, 2026

These Terms and Conditions ("Terms") govern the use of services provided by Accelerated Trends ("Company," "we," "us," or "our"), including vendor management, food pick-up and delivery coordination, party and event rentals, staging, and event setup services (collectively, the "Services").

By booking, signing a proposal, or paying a deposit, the client ("Client," "you") agrees to be bound by these Terms.

1. Services Provided

The Company offers the following services, as selected and confirmed in a written quote, proposal, or invoice:

Vendor Management: Coordinating and communicating with third-party vendors (caterers, florists, entertainment, photographers, etc.) on the Client's behalf. This is capped at 4 or 5 vendors depending on the hosting package.

Food Pick-Up: Pickup and transport of catering or food orders from designated vendors to the event location. This depends on the hosting package, either 15-mile or 20-mile radius.

Party Rentals: Rental of event equipment and decor (e.g., tables, chairs, linens, tents, lighting, tableware).

Staging & Setup: On-site assembly, arrangement, and breakdown of rented items, decor, and event layout ("seamless setup").

Services included in any specific event are limited to those listed on the signed proposal or invoice. Any additional service requested after booking will require a written change of order and may incur additional fees.

2. Booking, Deposits & Payment

  • A signed agreement and non-refundable deposit of 70% of the total invoice are required to reserve a date.
  • The remaining balance is due no later than 3 days before the event date.
  • Accepted payment methods: Debit/Credit Cards, Klarna, PayPal.
  • Late payments may incur a flat fee of $20 per day and may result in suspension of Services, including cancellation of vendor bookings or rental holds.
  • Prices are based on the scope of Services at the time of quoting and are subject to change if the scope, guest count, or date changes.

3. Cancellations & Rescheduling

Client Cancellation: Deposits are non-refundable. Cancellations made less than 10 days before the event will be charged 30% of the total invoice to cover commitments and rental holds already made on the Client's behalf.

Rescheduling: Requests to reschedule must be made in writing at least 10 days in advance and are subject to rental availability. A rescheduling fee of $20 may apply.

Company Cancellation: If the Company must cancel due to circumstances within its control, all payments will be refunded in full or applied to a rescheduled date, at the Client's choice.

4. Vendor Management

  • The Company acts solely as a coordinator and liaison between the Client and third-party vendors. The Company does not directly hire, source, or control the quality, timeliness, licensing, or performance of independent third-party vendors.
  • Any contracts for third-party services (catering, entertainment, photography, etc.) are between the Client and the vendor.
  • The Company will make commercially reasonable efforts to confirm vendor delivery windows, but is not liable for vendor delays, no-shows, or quality issues beyond its reasonable control.

5. Food Pick-Up

  • Food pick-up times are coordinated based on the vendor's availability and estimated travel time; the Company is not responsible for delays caused by the food vendor's preparation time.
  • The Company is not liable for food quality, allergen content, spoilage, or foodborne illness once food has left the vendor's premises, except where caused by the Company's own negligence in handling or transport (e.g., failure to maintain required temperature during transit).
  • The Company is not responsible for verifying ingredient lists with vendors.
  • Any perishable food not consumed at the event will be discarded unless the Client makes prior arrangements for transport.

6. Party Rentals

  • Rental items remain the property of the Company or its rental partners at all times.
  • The Client is responsible for the rented items from the time of delivery/setup until pickup/breakdown, and will be charged for any items that are lost, stolen, or damaged beyond normal wear during that period, at replacement cost.
  • Rental counts and condition will be confirmed at delivery. Any discrepancies must be reported within 2 hours of delivery.
  • The Company reserves the right to substitute rental items of equal or greater value if a specific item becomes unavailable.
  • Rental pricing is based on the agreed rental period; extended use beyond the agreed pickup/breakdown time may incur additional fees.

7. Staging & Setup Services

  • Setup and breakdown times will be scheduled in advance and are dependent on venue access windows provided by the Client or venue.
  • The Client is responsible for ensuring the venue is accessible, safe, and suitable for setup at the agreed time (including power access, adequate space, and compliance with venue rules).
  • The Company is not responsible for delays or additional costs resulting from restricted venue access, weather conditions preventing outdoor setup, or venue-imposed restrictions not disclosed prior to booking.
  • Any structural, electrical, or safety concerns identified during setup will be communicated to the Client immediately, and the Company reserves the right to modify or decline a setup element it deems unsafe.

8. Client Responsibilities

The Client agrees to:

  • Provide accurate event details (date, time, location, guest count, access instructions) in a timely manner.
  • Obtain any permits, venue approvals, or insurance required for the event.
  • Designate an on-site point of contact during setup, the event, and breakdown.
  • Notify the Company promptly of any changes to the event scope.

9. Liability & Indemnification

  • The Company's total liability for any claim arising from the Services is limited to the amount paid by the Client for the specific Service giving rise to the claim.
  • The Company is not liable for indirect, incidental, or consequential damages, including lost enjoyment, reputational harm, or lost business.
  • The Client agrees to indemnify and hold the Company harmless from claims arising from the Client's own negligence, misuse of rented equipment, or violations of venue rules.
  • The Company carries general liability insurance; proof of coverage is available upon request.

10. Force Majeure

The Company is not liable for delays, damages, or failure to perform due to events beyond its reasonable control, including severe weather, natural disasters, government restrictions, labor disputes, or vendor failures caused by circumstances outside the Company's control. In such cases, the Company will work with the Client in good faith to reschedule or adjust Services.

11. Photography & Marketing

Unless the Client opts in writing, the Company may photograph or video the event setup for portfolio, marketing, and social media use. No identifiable guest images will be used without separate consent.

12. Dispute Resolution

Any disputes arising from these Terms will first be addressed through good-faith negotiation. If unresolved, disputes will be subject to mediation/arbitration in Collin County, Texas, governed by the laws of the State of Texas.

13. Amendments

The Company reserves the right to update these Terms at any time. Material changes affecting a booked event will be communicated to the Client in writing prior to the event date.
